AVSS VERSION 4.6 RELEASE NOTES: NOVEMBER, 1996

AMRBIRTH CERTIFICATE, HOSPITAL BIRTH RECORD CHANGES
95-102 In BIRTH CERTIFICATE option, under BATCH CENSUS TRACT BY DATE RANGE, multiple site codes may be entered for batch census tracting.
95-110 A Bar Code Index will be created and printed on the Birth Certificate for the original printing of a Birth Certificate. A Bar Code may be added to a record by editing the record, then printing that record before it is filed.
95-111 A Birth Certificate must first be entered under HOSPITAL BIRTH RECORD option. Entering a new Birth Certificate under the BIRTH CERTIFICATE option will not be permitted.
95-114 The ALPHA LIST OF RECORDS under HOSPITAL BIRTH RECORD option will display DATE-SENT instead of the AMENDED date.
95-158 DUPLICATE RECORD REPORT BASED ON HOSPITAL/DOB/TOB has been added as a suboption under the BIRTH CERTIFICATE option to look for duplicate birth records. Records will be compared for matches on date of birth and time of birth.
95-160 As per CBC specifications, the entry of "UNKNOWN" will be allowed in field 4B-HOUR of birth.
95-162 In HOSPITAL BIRTH RECORD option, field 13C-DATE SIGNED of attendant or certifier will be a required field.
96-015 As per CBC specifications, the following entry has been added to Race/Ethnic list: 31-WINTU.
96-020 The data in fields 32-FATHER'S SOCIAL SECURITY NO., 33-MOTHER'S SOCIAL SECURITY NO., SSA1-ISSUE SOCIAL SECURITY NUMBER?, and SSA2-SHARE SSA NUMBER WITH HEALTH DEPARTMENT? will be removed when a SEAL CERTIFICATE or SEAL AND REPLACE CERTIFICATE is executed.
96-061/135 The pitch and point size for printing a Birth Certificate, currently set at Courier Bold, 10 pitch 12 point, will be changed to Courier Bold, 12 pitch, 10 point. All printing coordinates will be changed accordingly for the new pitch size. All Birth Certificates using the new pitch size must be printed on a laser printer. Maximum field lengths have been increased accordingly.
96-062 FIND AND REMOVE DUPLICATE SUBFORMS has been added as a new suboption in BIRTH CERTIFICATE option to check fields 1A NAME OF CHILD, 1B-MIDDLE, 1C-LAST (FAMILY), 4A-DATE OF BIRTH, and 4B-HOUR to determine if there is an exact match. If so, there will be an option to backup and/or delete the duplicate records.
96-064 All GENERATE TAPE… suboptions in BIRTH CERTIFICATE option and HOSPITAL BIRTH RECORD option will be changed to GENERATE FILE… suboptions.
96-065 GENERATE CBC (1400) RESEARCH FILE has been added as a new suboption in BIRTH CERTIFICATE option. This will be the converse of GENERATE NEW RECORDER FILE (1400) and will contain no personal identifiers.
96-080 CERTIFIED ABSTRACT PRINT will create the new internal variable DATEAB which will contain the date a certified abstract was printed. This date will be contained in the screen display.
96-088 As an HCA record is being registered and linked as an LCA, if the user leaves does not complete the linkage and allows the process to "time-out", the record will not be filed as "Incomplete" but will remain as an HCA.
96-092 LIST TO BE SENT TO THE HEALTH DEPARTMENT will not continuously scroll previously printed dates off the screen. If a user chooses not to create a new list but to print a previously printed list, the list of dates will display and pause at the end of each screen.
96-094 As per Handbook of Birth and Death Registration, field 12B-RELATIONSHIP TO CHILD will allow entry of "MOTHER FATHER".
96-095 An entry in fields SSA1-ISSUE SOCIAL SECURITY NUMBER?, and SSA2-SHARE SSA NUMBER WITH HEALTH DEPARTMENT? will be disallowed for a record entered as a "Home" birth.
96-104 New fields SENTHCA and SENTLCA have been created as a means of tracking electronic transmission dates from the hospital to the LRD and then from the LRD to the state. The value in the field SENTHCA at the hospital, the LRD and the state reflects the date the record was last transmitted to the LRD. The value in the field SENTLCA at the LRD and the state reflects the date the record was transmitted to the state.
96-105 Effective January 1, 1997, California law will require information on the marital status to be entered on the electronic birth record.
96-117 Effective January 1, 1997, California law requires that the father's name cannot be printed on the birth certificate unless the parents are married or a voluntary declaration of paternity is signed.
96-138 Only dashes or actual names will be allowed in father's name fields; such entries as REFUSED, WITHHELD, NOT STATED, or A.I. are not allowed.
CONFIDENTIAL MORBIDITY REPORT CHANGES
95-123 The following changes have been made for CMR reporting: 1. Escherichia Coli has been moved from "REPORTED CASES ONLY" to "INDIVIDUAL CARDS REQUIRED"; 2. Hemolytic Uremic Syndrome has been moved from "REPORTED CASES ONLY" to "CASE HISTORY"; 3. Dengue has been moved from "CASE HISTORY" to "INDIVIDUAL CARDS"; and 4. Text CONGENITAL RUBELLA SYNDROME has been changed to "RUBELLA, CONGENITAL SYNDROME".
95-165 Per Revision to Title 17, Section 2500 regulations, the following modifications have been made: The Weekly Place of Report has been added to CONFIDENTIAL MORBIDITY REPORT option and all weekly reports in REPORT GENERATOR option have been replaced by #CMRWPR. Additions and changes to CMR Disease list. 96-124 The following disease has been added: STREPTOCOCCAL INFECTION, INVASIVE, GROUP A, alias INVASIVE GROUP A STREPTOCOCCAL INFECTION, ICDA code STRPNVA - 041.0A. STREPTOCCAL INFECTION, OUTBREAK ICDA code has been changed to 041.0B.
DEATH RECORD CHANGES
95-151 The validation message has been removed from field 118-TYPE ATTENDING PHYSICIAN'S NAME.
96-049 LFN ASSIGNMENT has been added as a suboption to DEATH RECORD option so that file numbers may be printed on a Certificate of Death.
96-064 GENERATE TAPE… suboption in DEATH RECORD option will be changed to GENERATE FILE… suboption.
96-079 A match of a keyword in field 107A-CAUSE OF DEATH will be attempted but if there is no match, the value for this field may be free-text.
REPORT GENERATOR CHANGES
95-083 A new report, #CMRGENR, has been created (similar to #CMRGEN) which adds the reporter specification.
95-112 CMR reports which previously were designed to be printed on wide paper (11" x 17") will be printed in a condensed format on standard 81/2" x 11" paper.
95-128 New standard reports , #CRACH1X, #HRACH1X, #FRACH1X, and #RRACH1X, have been added to produce a table of mother's race and mother's Hispanic origin.
95-165 All weekly CMR reports in REPORT GENERATOR option have been replaced by #CMRWPR.
96-006 Reports #CDCLST1, #CDCLST2, and #CDCLST5 have been modified to allow printing of the longer LFN numbers.
96-067 A new report, #CDCLST7, has been created to print a report (similar to #CDCLST6) which will include records of all occurrences, not just residents.
96-075 Reports #HMDBW2X, #HMDCS2X, #HMDM2AX, #HMDM2BX, #CMDBW2X, #CMDCS2X, #CMDM2AX,#CMDM2BX, #RMDBW2X, #RMDCS2X, $RMDM2AX, and #RMDM2BX have been modified to print more characters of an attendant's last and first names.
SYSTEM MAINTENANCE CHANGES
96-060 Automatic shutdown and backup is a feature provided by the AVSS Project to assure backups will be performed with no user intervention. Please contact the AVSS Project for more information.
96-111 AVSS DATABASE INTEGRITY CHECKER will allow the user to designate a specific form as well as a specific site to be checked.
